Job Description:

Job SummaryThe Receptionist will be responsible for greeting visitors and/or employees when entering the main lobby, answer incoming calls and direct to appropriate individual. He/she will handle incoming and outgoing express mail. The Receptionist will provide administrative office support with a variety of clerical activities and related tasks.
Essential Functions

  • Greet visitors in a professional and courteous manner
  • Coordinate visitor meetings with appropriate employee(s) and/or department(s)
  • Answer incoming calls to main switchboard and route to the appropriate individual or department
  • Maintain and produce company directory and distribute
  • Schedule meetings on company calendar for assigned meeting rooms
  • Handle the scheduling and distribution of company tickets/passes to the various attractions and other special activities throughout the area
  • Receive and log all incoming express mail
  • Prepare outgoing express mail (FedEx, UPS, etc.)
  • Order and maintain shipping supplies inventory needed
  • Open and close the company's main entrance at the scheduled time during business hours or as requested
  • Maintains volunteer tracking database
  • Assist various departments with administrative duties as assigned
  • Maintain inventory supplies in breakroom(s)
  • Point of contact related to vendors for vending machines and coffee and water machines
  • Generate and maintain accurate job aid for duties assigned
  • Perform other duties as requested, directed, or assigned
    Education and Experience Requirements
    • High School Diploma or GED required. Some college preferred
    • Minimum of 2 years' experience in job related duties

      • Ability to communicate effectively and professionally with visitors and employees at all levels
      • Excellent verbal and written communication skills
      • Strong customer service orientation
      • Ability to convey a positive and professional image to visitors and employees
      • Exercise discretion and independent judgement when handling day to day information
      • Must be proactive and self-motivated with the ability to work with minimal supervision
      • Excellent time-management skills to plan, organize, and prioritize tasks and responsibilities
      • Strong multi-tasking ability
      • Ability to complete work with a high degree of attention to detail
      • Proficient in Microsoft Office Suite (Outlook, Word, and Excel)
      • Must possess a current and valid driver's license and be insurable
